When you have received a task from someone else, you need to indicate whether you can do the task.
Accept or decline a task before it starts
If the task has a status of Assign, you need to indicate whether you accept the task before you can start work on the task. (This will happen when the task owner has used the Collaboration - full task type.) You will be directed to the Run section of the Task details page which will show a form to accept or decline the task.
Indicate whether you can do the task (accept) or cannot (decline).
If you decline the task, you can optionally refer the task to someone else. This can be:
- A colleague who has previously received work from the same task owner.
- By name and email.
Declining a task but suggesting an alternative is known as a referral.
Optionally provide a message.
Use Submit to let the task owner whether you accept or decline the task. If you accept it, you will be able to start the task. If you decline it, the task will be shown as cancelled.
The list of colleagues is the list of sub-folders in the connection folder for the connection to the task owner. If the task owner has used the address book feature, these sub-folders will match their address book and they should be able to reassign the task easily.
Decline a task that has started
Most tasks you receive do not require you to accept the task, and the tasks are auto-accepted on your behalf. However, you can still decline the task, and you can decline a task that you have previously accepted.
Use the Task option on the task's context menu to open up the Task details and go to the Run section. Use the Decline task button to open up a form to decline the task. This is just the same as the accept and decline form above, except that there is no accept option.
Receiving a decline or a referral
If you are the task owner and the partner has declined or referred the task, the task status will show as Ready to start - declined or Ready to start - referred.
To reassign the task to someone else, go to the People section on the Task details page, select a new assignee, and send them the task.
To change, delete or cancel the task, go the the Task section on the Task details page, and select the Prepare link (or choose Prepare from the tasks' context menu). Confirm that you want to take the task back into prepare stage. You can then change, delete or cancel the task.
