The task list shows the tasks in the folder.
Each task has a main folder, but may also have relationships to other folders, which are called secondary folders. For example, a task sent to a partner has a relationship to the connection folder of the partner, so the connection folder is a secondary folder. Tasks are only shown in their main folder, but list secondary folders.
If the folder has the show processes from sub folders option set, the task list will also show tasks with actions and recent unread tasks from sub folders. See Folder appearance.
At the top of the task list, there are three controls:
- A dropdown to select which tasks to show. The options are:
- Show all tasks.
- Show only those tasks with the action flag set.
- Show all tasks with the action flag set, plus top-level (level 1) tasks from the hierarchy.
- Show all tasks with the action flag set, plus top-level and second (level 2) tasks from the hierarchy.
- A dropdown to select the sequence of the tasks. The options are:
- A-Z alphabetic sequence.
- Tasks sorted by latest activity date, most recent first.
- Plan sequence.
- A free-text search box for searching the tasks.
Each task in the list is shown as two lines. In the upper line:
- An optional red flag, to indicate that action is required.
- The task name. If it is in bold, it means an action is required or there is unread information associated with the task.
- The date and time of the most recent activity. If only a time is shown, the action occured today.
- A icon which shows the context menu for the task, with links to Task actions.
In the lower line:
- The task's other folders, excluding the folder in which the task is being displayed. The main folder is shown as a link, and clicking on the link will open the main folder. Secondary folders are shown in italics. In the example above, Task A's main folder is Sub project A, to which there is a link. It also lists the secondary folder Bob, shown in italics.
- The status of the task.
Click on the task name or status to open the task. In mant cases this will open the Task details page, but in other cases a different page will be shown (you can get to the task details by using the Task option from the tasks' context menu).
